Planning Committee’s Responsibilities

The Planning Committees are responsible for the competition's success, staffing, food, direction, correct management, and the excellent supervision, among others.

The planning committee is in charge of making decisions on the council’s larger and more sensitive planning applications. So the planning committee consists of a group of people who deal with the management of different types of sports. They are supposed to keep a check on whether a particular sport is played in our country. Planning committee arranges for different tournaments and  matches. All the planning and execution of sports tournaments in our country is done by a sports planning committee. 

Pre-, during-, and post-tournament responsibilities of committees 

When compared to previous decades, involvement in games and sports is on the rise today. As a result, it becomes the authorities’ major responsibility to organise any sports competition or sporting event in a wonderful and spectacular manner. As a result, knowing the pre-, during, and post-game obligations or duties is critical for the efficient running of any sporting event/tournament. Officials from various committees have different tasks, which are shown below. As we are very well aware that as soon as a tournament is finalised , the planning and execution of those plans also starts from that very day. So the planning committee gets into their job, which is to prepare for  a great tournament . There are a lot of tasks and things to accomplish which we might not have included otherwise. So planning committee responsibilities start before the tournaments and continue even after the end of the tournament . So, these responsibilities or tasks of the sports planning committee are classified into three divisions : pre tournament responsibilities, during tournament responsibilities and lastly the post or after tournament responsibilities. 

Pre-tournament responsibilities 

Sometimes as soon as the tournament is finalised it is decided to happen . Certain responsibilities and roles begin from the very moment and the major pressure and preparation is done before the happening of any big tournament. There is a long list of activities and tasks to be done before the tournament . The following are the primary pre-game responsibilities.

  • To work with the authority to prepare the tournament/sports event budget, as a lack of funds may make it difficult to organise the tournament in a beautiful and orderly manner.
  • To plan the sports tournament’s schedule or programme, which includes the tournament’s dates and location.
  • To prepare sports grounds/courts/tracks, as well as sports equipment required for the organisation of a sporting event.
  • Establishing various committees for organising sporting events.
  • Sending out information to the various teams about the tournament’s dates and locations.
  • Make required arrangements for sportspersons and officials’ boarding and accommodation.
  • Arrange for winners to receive prizes and certificates.
  • To send entry forms to various institutions early and receive them on time so that fixtures can be prepared on time.

During Tournament Responsibilities

Some responsibilities have to be shouldered when the tournament is on. They can’t be done before or after the tournament . They are performed simultaneously with the tournament.The following are the primary during the game responsibilities.

  • To ensure suitable preparations for the start of a sporting event.
  • To ensure that the sports ground, field, or court and related sports equipment are in good working order.
  • Ensure that the sporting events/tournament are organised according to the schedule.
  • To double-check the refreshments for players and officials.
  • To make any necessary notifications regarding the tournament’s progress.
  • Provide first assistance to injured athletes and sportspeople.
  • To create an official scoresheet for the record.
  • Disseminate and update the information to electronic and print media.
  •  Maintaining appropriate discipline.

Post Tournament Responsibilities 

Some responsibilities do not end with the end of the tournament . They are performed after the tournament is over. So these committee members’ job does not end with the tournament.  Following the competition, the officials are responsible for the following tasks.

  • To present the winners with their prizes and certificates.
  • To provide the media with complete results and other pertinent information.
  • To reimburse the leaving teams for their security deposits.
  • Gather all records/files pertaining to the sporting event.
  • To make payments to the officials and other parties involved.
  • To create reports pertaining to the tournament’s expenditures.
  • To provide souvenirs to the principal visitor or special guest, etc.

Formation of committee for organising sports events

Various committees collaborate to ensure the smooth running of sporting events.  The following is a list of the numerous committees and their roles:

Organising committee:This committee is in charge of all aspects of the athletic activities that will be held. 

Finance committee: This committee is in charge of all monetary receipts and expenditures, among other things. . 

Publicity committee: This committee is in charge of all media releases, press conferences, and results during the meet, as well as publicising the dates and venues through the media, posters, and printing, among other things. 

The Accommodation Committee: The planning committee’s responsibility is to organise arrangements for the players’ and officials’ accommodations. . 

Transportation Committee: This committee is in charge of getting athletes and officials to and from sporting events and back to their lodging. 

Refreshment committee: The purpose of the refreshment committee is to serve refreshments to the participants, officials, and everyone else like snacks , cold drinks etc involved in the program. 

Purchase committee:  This committee is in charge of procuring types of equipment or any other items needed in conjunction with the athletic event.

Conclusion 

A planning committee has various responsibilities. The entire execution of a match apart from players is the responsibility of a planning committee. From start to end of any sports match these planning committees have big roles to play. From bringing the coach of a particular sport, to arranging its players to providing them adequate sports tools to arranging matches for them and then distributing prizes all parts are being played by a Planning committee. A sports tournament’s success is measured by the capability and the hard work done by the planning committee for that round of tournament.
