Job Description
The Confidential Assistant assists the City Manager and Mayor’s offices with administrative tasks and collaborates with other staff on a number of goals and projects. The incumbent is responsible for preparing a number of sensitive documents and reports, as well as producing agendas and minutes for Close Council meetings, responding to inquiries, scheduling meetings, By accepting and prioritizing all meeting requests, the Confidential Assistant assists the Executive Assistant in efficiently managing demands on the Mayor’s time. Preparing official paperwork, preserving files, processing expenses, generating reports for various purposes, and preparing PowerPoint and other presentations are all examples of this.
The incumbent will have access to highly confidential topics and transactions during the course of his or her work and must operate with the highest discretion and professionalism.
Employees in this position conduct a variety of administrative and office support tasks for the department and/or the Directors or Deputy Executive Director in order to ensure the agency’s smooth operation. For a department head, coordinate departmental office activities and provide administrative support and office assignments. Office coordination, meeting scheduling, compiling and keeping office records, reports, sensitive files, and communication relevant to the department’s area of responsibility are among the tasks assigned.
