Notice

A notice is an announcement or intimation of something that is going to occur. It is a common method of communication that covers a wide range of purposes and is displayed in a methodical way for the intended people to discover.

Notice: Overview

Notice can be printed or hand-written to convey a message to a certain group of people. It acts as an announcement for a group of people. It is a formal means of communication. It is written in the form of short or brief information with no extra details. Notice is used to give information regarding an event or occasion. The advantage of using notice is that it reaches the masses quickly. It is written in a very brief format and excludes any extra details. 

Notice should be precise because people may not have time to read each detail thus, it is upon the writers to express the messages in brief.  It is better to write Notice in a box.

Notice Format

  1. Name of the Institution or Issuing Authority –   The first step is to write the organisation’s name on top of the page in the capital. The name of the organisation means the name of the institution. Through this, the readers can identify the issuer of notice. 
  2. Title – The title says “ notice”. It catches the eyes of the reader about the Notice.  
  3. Date – One needs to mention the date on the left corner of the notice. The Date is crucial as a notice in the form of formal communication. The Date should be written correctly for clarity.
  4. Heading – Heading is a brief line that gives an idea about notice. It reflects the occasion for which the notice is issued. Heading explains the purpose of communication.
  5. Body – The main subject should be mentioned in the body. It contains important information like the time of the event, place of event and date of the event. The notice is written in passive voice, and the sentence is not more than 3-4 lines.

The school is organising an event on Children’s day. The Cultural Studies Secretary wants to notify the students of the cultural department about the fair.

Notice Writing Tips

1. Organised Representation of Information

  • What is occurring?

The notice should clearly state the event or the programme that will take place.

  • The date of its occurrence

The notice shall state the date of the event

  • The place where it is occurring

The notice shall state the venue of the event.

  • Why it is occurring?

The notice shall state the reason for which the event is held.

  • By whom it is occurring?

The issuing notice will leave their contact information written for people to ask for further details.

2. No dragging

Notice is known for its brief information, so extra detail need not be written. It is to be noted that a Notice should contain 50 to 60 words and not more than that.

3. Proper Format

One should follow the correct format of notice writing while issuing the notice.

4. Appropriate Heading

The heading should be proper and must give out information about what the notice contain. It should give knowledge about the main purpose of the notice. People will avoid reading the notice the first line is not written clearly.

5. Clarity

The information must be short and should be clear to the reader. The notice should have been accurate.

Short Notice and Further Notice

Short Notice

Short notice means that only a short time was given before something happens.

For example:

She had to leave for Mumbai on short notice.

Further Notice

Further notice means a notice that prohibits you or makes you do work, things until an announcement is made.

For example, The lockdown is issued in state until further notice.

Short Notice and Further Notice: Difference 

Short notice denotes that the information was given immediately before the happening of an event while further notice denotes a longer timeframe till a person resumes work until there is another announcement for that.

A perfect notice is the one that uses the correct format of notice writing and includes brief notes to attract a larger scale audience. Notices are displayed in public places, institutions, government offices or used by print media in the form of newspapers, outlets etc. With the growth of technology Notices are also displayed in digital platforms like websites, texts, emails. A notice is also used in law as legal notices, actual notice, constructive notice, etc. We often see various notices like the happening of fairs or the promotion of the new shop. In school, a notice can be used for giving information or calling students for a meeting.
